1. Job Description:

Industry: Wastewater Treatment  

Responsibilities: 

  • Manage the procurement, inventory, and distribution of office supplies.
  • Keep company databases current and well-maintained.
  • Establish and maintain an efficient filing system.
  • Create, update, and manage various administrative documents.
  • Organize invoices, receipts, and payment records efficiently.
  • Assist in translating technical documents and facilitating meetings.
  • Contribute to the development and implementation of office policies and procedures.
  • Identify opportunities for process improvement and implement new systems to enhance efficiency.
  • Aid in office layout management and IT infrastructure maintenance.
  • Participate in recruitment, onboarding, termination processes, and timekeeping management.
  • Support employee education and development initiatives.
  • Provide comprehensive administrative support, including scheduling group meetings, managing calendars, conducting research, drafting documents, preparing reports, and arranging business travel.
  • Maintain a clean, safe, and organized work environment by coordinating office maintenance and repairs with vendors/service providers.
  • Assist with ad-hoc tasks and activities as required.

2. Requirements:

  • At least 1 year of experience in Administrative Officer, Administrator, or similar roles.
  • Have a solid grasp of administrative functions and office operations.
  • Proficiency in MS Office applications, particularly Excel and Word.
  • Excellent written and verbal communication abilities.
  • Proficient in English reading and writing.
  • Knowledge Japanese JLPT N4.
  • Strong organizational capabilities with the capacity to prioritize tasks and meet deadlines.
  • Possesses a problem-solving attitude with meticulous attention to detail.
  • Demonstrates excellent interpersonal skills.
  • Exhibits analytical thinking and adept critical decision-making skills.
  • Familiarity with basic IT troubleshooting is a valuable asset.
